Program Policies
8 Acre Woods is a small organization that aims to provide the best possible educational experience for our students and families. To achieve this, we have implemented strict cancellation policies that we kindly ask our community members to respect. Every cancellation request takes significant resources to field, and it can be challenging to fill the space left by a cancellation on short notice. When we reserve a space for a student, we often turn away other families because we are holding that space for them. Unfortunately, if a student cancels, we are often unable to recover the tuition, which affects our ability to provide the best possible experience for our students. We kindly ask that you understand the importance of our cancellation policies and respect them so that we can continue to provide the highest quality of education for our community. General Refund Policies
*We have a 24 hour “oops” policy, meaning that you can receive a full refund for up to 24 hours after you register for a class or event.
Semester Classes:
*We do not offer refunds for semester classes, except in the instances outlined below:
Relocation: If a family relocates to a new home outside of a 60 mile radius of 8 Acre Woods, the fees may be refunded on a prorated basis of the total fee for the session, minus the non-refundable deposit.
Extended Illness: In the instance of an extended illness or medical situation where a student cannot participate as required by a doctor, prorated tuition will be transferred to a future session or event.
*Should you choose the payment plan option at check out, you will be responsible to complete your payment plan, regardless of whether or not you complete the semester, camp, or event.
*No credits or refunds will be given after a semester has already started except for the instances above.
*Missed classes within a semester will not be refunded.
*If we need to cancel a class for any reason such as air quality, icy roads, or dangerous storms no credits or refunds will be issued.
Summer session and multi-day events:
*15 days or more prior to an event and if the vacant spot is able to be filled, registration fees may be refunded minus any non-refundable deposit.
*Less than 15 days prior to the event, If a spot is not able to be filled, no refund will be given and full payment is required.
*If the spot is able to be filled, a full refund may be given, minus the non-refundable deposit.
Events:
*We do not offer refunds after our 24-hour "oops" policy.
Late Pick-Up Policy
We understand that life happens and that sometimes being late is unavoidable. However, being late on a regular basis does not work for our programming. If this becomes an issue and we notice you are continuously late to pick up your child, we will begin our late charges including $10 for the first 5 minutes late, and then $10 for the next 5 minutes, and so on. Late pick up fees will be charged and must be paid prior to the participant's next day of class.
Example: If the dedicated pick up window is 2:45pm-3:00pm. Caregiver arrivals after 3:00pm are considered late and will be charged $10 for pickups 3:00-3:05; $20 for pickups 3:05-3:10; $30 for pickups 3:10-3:15, etc.
Please plan accordingly to allow for possible delays from construction and road traffic, and notify ALL caregivers of this policy. Thank you for your help & please drive safely!
If you are arriving late to program, please be sure to let the lead instructor know as soon as you can.
Dismissal from 8 Acre Woods:
8 Acre Woods is committed to maintaining a safe environment that allows children the freedom to play, learn, explore, and create.
If we believe a child is unable to adhere to our rules and safety guidelines, they will be denied admission.
If an enrolled child exhibits behavior that is unsafe or interferes with the rights of others, they will be dismissed from the program.
8 Acre Woods reserves the right at its sole discretion to refuse an application or dismiss a child from the program.
No refund will be given if a child is dismissed from the program under these circumstances.
Toys and Additional Belongings
Children are encouraged to leave toys and additional belongings at home. Toys are often a distraction in the woods and teachers reserve the right to hold onto an item until pick-up if they are brought to a session. If a child has a special item s/he wishes to share with the class, please make arrangements ahead of time with the teacher. Each child will be provided with a hook to hold their backpacks when at base camp.
